Seat Types
Understand the Leader seat, free profiles, and workspace roles in SMVue.
SMVue has one paid seat — the Leader seat — plus free, unlimited permission profiles that shape what a member without that seat can see. Understanding the difference between a seat (a purchased entitlement) and a profile (an access grant) helps you set up your team correctly.
The One Paid Seat

Free Profiles
Reps and executives are not seats — they are free permission profiles a member holds without ever purchasing anything.
Executive Profile

The Own-Book Floor
A member with no seat and no assigned profile is not locked out. They fall to a read-only own-book floor — their own records, read and export only, never write. This is the default a brand-new invite lands on before an Owner or Admin assigns anything more specific; it replaces the old "no access at all" gap.
Choosing the Right Access
Give the Leader Seat To
- Sales managers who coach reps
- Team leads who run 1:1s
- Anyone who needs Meeting Prep, Sales Coach, Notebooks, or the ability to create coaching sessions, notes, and action items
Give the Executive Profile To
- VPs of Sales
- CROs
- Executives who need workspace-wide visibility
- Anyone who needs analytics but doesn't coach directly
Give the Rep Profile To
- Sales reps (AEs, SDRs, CSMs)
- Anyone being coached
- Team members who only need to see their own performance
Assigning Access
Owners and Admins assign the Leader seat and profiles independently — they are two separate choices, not a single picker:
- Go to Settings → Team (or the invite dialog for a new member)
- Find or invite the user
- Toggle the Leader seat on or off
- Choose one or more permission profiles (a system preset like Executive, Rep, Revenue Operations, or a custom profile) and, for a team-scoped grant, the operating team
- Confirm changes
A profile change takes effect immediately and never requires a re-invite.
Billing Impact:
- Only the Leader seat is billed — the workspace base plan ($150/month) includes one, and each additional Leader seat is $100/month (20% off either when billed yearly).
- The Rep and Executive profiles are always free and unlimited. The Executive profile is read-only; the Rep profile can take narrow task-status and Inbox reply actions within the member's own workspace.
Custom Permission Profiles
The Executive and Rep presets above set the default access most workspaces need. For anything more specific — a revenue-operations role that reads everything and manages the CRM connection, or a rep who should also see one other team's pipeline — an Owner, Admin, or anyone holding the permissions.manage capability can build a custom permission profile from Workspace Settings → Profiles and assign one or more profiles to a member from the Members page, alongside their seat. A profile only ever adds access on top of the own-book floor; it can never grant the Leader seat's write authority (creating or editing coaching sessions, notes, and action items) on its own. Assigning a profile shows a preview of what the member will see before you confirm, and editing a profile's grants shows how many current holders are affected.

Sales Coach is included with the Leader seat. Sales Coach for Reps and Sales Coach for Execs are available as add-ons — contact us for add-on pricing. They are not included with the free Rep or Executive profile.
Switching Access
Changing a member's access:
Impact on Data:
- All historical data retained
- Access level changes immediately
- Reversible at any time from Settings → Team (unlike the old irreversible seat-type change)
Removing the Leader seat:
- Loses coaching tools (Sales Coach, Meeting Prep, action-item creation)
- Falls to whatever profile (or the own-book floor) is still assigned
- Frees up the Leader seat's billed slot
Granting the Leader seat:
- Gains full coaching access
- Requires an available seat under the purchased ceiling (may need to purchase one)
- Sees the full team data their profile's scope allows
Seat Limits by Plan
The workspace, not the individual seat, is the paid unit:
- Workspace base ($150/month): includes one Leader seat.
- Additional Leader seat ($100/month): per team lead beyond the first — self-serve, no custom "Team plan" required.
- Unlimited Rep profiles (free, scoped to each rep's own data).
- Unlimited Executive profiles (free, read-only).
Annual billing is 20% off either price.
